COMING SOON MVLA San Jose Fundraising and Company Match Policy Purpose The goal of this policy is to clarify the process for handling fundraising donations and company matches to ensure fair and transparent distribution while maximizing support for both families and MVLA San Jose Soccer Club. Policy Overview 1. Family Donations Donations made by a family member to the MVLA San Jose fundraising campaign support the club's general operating, program, and equipment needs. Because these funds directly benefit the donor's own player, the portion of a family's donation applied toward that family's registration or season dues is not treated as a tax-deductible charitable contribution — it is treated as a payment toward dues. Families should consult their own tax advisor regarding the deductibility of any contribution. 2. Company Matching Contributions In cases where a family's donation is eligible for a company match through programs like Benevity, the matching funds (the employer's contribution, not the family's original donation) will be allocated as follows: The first portion of the match, up to $175, goes to the club. The remaining matched funds may be credited toward that family's outstanding season dues, up to the total amount of dues owed. Any matched funds beyond what's needed to cover the family's remaining dues will be directed to the club's general operating fund or a designated equipment/program fund. Credited match funds apply only to the current season, do not roll over to future seasons, and are forfeited if the family withdraws or leaves the club before the season concludes. Families should notify Club Operations if they are securing a donation or match to ensure records are updated and avoid unnecessary follow-up requests for credits or payments. Example: A family donates $5,000 to the club, and their employer offers a 100% match through Benevity, contributing an additional $5,000. The $5,000 family donation supports club operations and programs (see Section 1; not treated as tax-deductible where applied to the family's own dues). Of the $5,000 employer match: the first $175 goes to the club. If the family owes $2,000 in season dues, the next $1,825 of the match is credited toward those dues, bringing their remaining balance to $0. The remaining $3,000 of the match flows to the club's general fund or equipment/program fund. The family will not receive matched funds in excess of their season dues, and any credited amount does not carry over to a future season. Transparency and Accountability MVLA San Jose is committed to transparent tracking and reporting of all donations and matching funds. Families will receive a statement showing the amount of their donation, any matching funds received, and how those funds were applied. Eligibility This policy applies to all donations made by families eligible for company matching. Families are responsible for confirming their company's eligibility and match terms through the Benevity platform or equivalent matching program. This policy is provided as general guidance and is not a substitute for tax or legal advice. Work Scholarship MVLA San Jose Soccer Club provides a need-based work scholarship program to help cover club dues and coaching fees for families in need of financial assistance. The program does not cover uniforms, tournaments, travel, lodging, apparel or miscellaneous expenses. Each year the club budgets a set amount to support the work scholarship program, but this does not guarantee that all applicants will receive support. APPLICATION PROCESS The MVLA San Jose Financial Assistance Committee follows the guidelines of the Work Scholarship program to make all aid decisions. In order to qualify, a family must complete an application per player and provide proof of eligibility. Families will be notified by email or phone call within 4 weeks of program application acceptance or denial. Families that received a work scholarship award will need to re-apply in the fall of each seasonal year. Please complete the Application Form and submit updated documents as listed on the form. ELIGIBILITY The work scholarship program is a need-based program that is awarded to families based upon their income. A family’s income level is qualified using the stated Santa Clara County Income Limits. The program is offered to all players regardless of where they live. The player applicant must be a full-time student with a GPA of 2.5 or above. Work Scholarship award recipients are required to participate in club-wide fundraising, and perform ~30 league specified service hours. Recipient(s) risk future eligibility if they aren't committed to assisting in these efforts. How the Work Scholarship Program Works: 1. Register Your Player(s) When registering, please select the Work Scholarship payment option. This will allow you to pay only $50 at the time of registration. 2. Complete the Work Scholarship Application After registration, you will need to complete the Work Scholarship Application, which asks some basic questions and requires you to upload supporting documentation. This information helps us determine the level of financial need. 3. Submit the Work Scholarship Commitment Form You will then complete the Work Scholarship Commitment Form, where you can select from a variety of volunteer jobs available throughout the season. The roles you select will help us determine your scholarship award amount. How Awards Are Calculated: Each hour worked/volunteered will represent 1% of an award toward your player’s dues. For example: If you work 30 hours, you will receive a 30% reduction in your dues. If your dues are $1,000, you will be awarded $300.00. This award will also count toward your fundraising efforts and the two amounts will be combined to reduce the over total cost of your dues. MVLA SAN JOSE FINANCIAL ASSISTANCE QUALIFICATION CHART The player applicant must be a full-time student with a GPA of 2.5 and above. Please refer to the chart on the Work Scholarship form for more information.
